Privacy Policy
1. Controller and scope
I Need to Call My Mother LLC, 6621 19th Street East, Unit I, Sarasota, Florida 34243, United States, decides how service data are processed. Privacy requests: help@ineedtocallmymother.com or Help, subject Privacy. Human reply within 24–48 calendar hours; completion follows the request and legal time limits. The person who buys the book does not automatically represent everyone pictured or recorded.
The owner’s current sign-in may still use the ChatGPT account that created the project. The approved move to email access will be announced when it is working; this policy does not declare that move complete.
2. Data and purposes
We process sign-in identity; order and delivery data; texts, photos, voice, transcripts and final files; consents, versions, approvals and withdrawals; technical security logs; and support messages. Full card data are handled by the payment processor, not by chat or book content.
We use these data for project access, organization and review, producing the edition, hosting audio for the contracted term, fulfilling the order and support. The local preview stays in the browser until you send files to an online service.
3. Legal bases, consent and sensitive data
Operations needed for the contract, legal duties and security use the applicable legal bases. Recording, optional uses, advertising and other cases that need consent have their own specific, withdrawable authorization. Accounts may contain health, religion or other sensitive information; do not include what is unnecessary. Accepting this policy does not authorize every possible use.
4. AI and providers
When an AI feature is used, we send the provider only what that task needs. The family reviews the result. We do not use facial recognition. We do not authorize model training on family content. AI conversation and AI reading aloud are optional, start unchecked, and do not clone the mother’s voice. In memorial mode the family may turn them on; the AI is not the deceased.
Actual providers follow the published operation (hosting, storage, authentication, payment, email, transcription/AI, printing and shipping when connected). We do not claim that payment, printing, renewal or off-site backup already work merely because they are described here. Messages to help@ are stored apart from family stories.
5. Access, QR codes and transfers
Drafts are private to their author. Approved accounts follow the project’s permissions. A QR or audio link works as a key: anyone who receives, copies or photographs it may listen. Printed copies and downloads can circulate off-site. The company is in the United States; data of people protected by Brazil’s LGPD should be transferred only with a valid mechanism. Book approval alone is not a generic authorization of international transfer.
6. Minors, cookies and security
The purchase account is for adults. Photographs or accounts of minors need necessity, best interests and proper permission; that does not create an account for the child. Cookies needed for the service may be used. Non-essential measurement, advertising and pixels (including Google Analytics and Meta Pixel) are not turned on merely by reading this policy and need their own choice if offered.
We use access controls, private links and recovery copies. No service has zero risk. Current backup, when on, stays with the same provider, triggered by activity, with up to three full copies for up to seven days. The approved off-site daily routine with 30-day versions is not described as already connected.
7. Rights and requests
United States package: you may request access, correction, export and deletion, and withdraw consent, through help@. California residents have CCPA/CPRA rights (know, delete, correct, limit sensitive use; no sale or share for cross-context ads). Other U.S. state privacy laws are exercised on the same channel. We do not sell personal information. LGPD Brazil rights are in the Brazil package, not this one.
The first human reply in 24–48 hours is a support target, not a promise that every copy is erased in that window. We do not confirm complete deletion until it has been finished in the stated scope.
How the site works today
When enabled, email sign-in uses Clerk to verify your email and maintain your session. Book stories and files are not sent to Clerk for authentication. Existing accounts stay separate; using the same email does not transfer a book to another account.
Mother’s private link and permissions
The mother opens a personal link without an account. Anyone with that link can access her space; share it only with the invitee. The child can suspend the link. The mother authorizes recording and printing separately and can withdraw both. Contributors send and view their own photographs. A guardian can suspend links but cannot edit accounts, permissions or payments.
Online voice and the family’s archive
The printed book includes two years of audio hosting after delivery. The $29 standalone digital product and the $19 audio extension for a printed book include five years from your final approval of the edition, with the cover and interior approved separately. Automatic renewal is optional: every five years until canceled, at 20% above the previous period’s price. The first renewal is $34.80 for digital or $22.80 for the extension, plus applicable taxes. Notices show the date and amount 90, 30 and 7 days before expiry. Without your consent, we do not renew automatically. Canceling renewal preserves the period already paid for. You can download and keep the PDF, photographs and recordings. If you keep only the two years included with print, you can purchase another five years for $22.80 when that period ends. This is optional; there is no automatic charge without your consent. If your renewal card is declined, audio remains available for 30 days after expiry while you resolve payment. QR access then pauses. Export remains available until 90 days after expiry, with notice before any deletion. Downloaded files remain with the family; online hosting has a defined term. The closure plan provides 30 days’ notice and full export. Passages have unpredictable private links and are not indexed. A passage link shares only the selected audio.
Backups
Automatic backup is triggered by site activity, at least six hours apart. It includes the database, audio, video, photos and thumbnails. Up to three complete copies are kept for up to seven days, with cleanup on subsequent activity. Deletions and access withdrawal invalidate earlier copies, including one in progress; storage failures are retried. Copies use the same provider and the operator can download them for independent storage. An isolated restore test does not change production.
What we store
We store sign-in identity, names, accounts, WAV audio copies, uploaded MP4 videos, photos, thumbnails, transcripts, approvals, conversations, book preferences and support. Files stay in private storage. AI receives content needed to transcribe, organize, respond and, with specific AI-reading permission, generate artificial narration. Videos are saved; transcription uses extracted audio. Disabling response storage does not mean zero retention across all provider systems.
Consent and sources
In participating mode, the mother separately authorizes use of approved accounts in AI conversation. In memorial mode, the reply is a reflection inspired by supplied recollections, without posing as the mother. In fictional mode, family sources are not used to invent a biography. You can withdraw permissions and sources; derived replies are removed from history. A recorded recollection is not historical verification.
Retention, export and deletion
By default, accounts are kept until you delete them. In My controls, choose 30, 90 or 365 days from each account’s submission. Expired accounts become inaccessible and enter cleanup; storage failures can delay physical removal and appear as pending. Download your copy before shortening retention or deleting. You can delete an account, a conversation, your participation or your data throughout this site. Another person’s independent data and copies already downloaded by them are not deleted by that action.
Email and support
When activated, email notices use Resend to deliver your name, email address and protected links. Preferences can be changed in Help; progress notices are optional. Requested links and support notices are transactional. Book links require the account that created the book. Messages received at help@ are stored separately from family stories and are visible only to the operator. Do not email sensitive memories or credentials. Sent bodies are removed from the local queue after seven days through activity, retaining minimal records to prevent duplicates. The provider keeps its own records under its policy.
